The chase

The work is not the work.
The chasing is the work.

A partner-level hour disappears into “did we ever get the K-1?” Every firm has the same five leaks — and every one of them is a collection problem, not a people problem.

  • Scattered channels

Requested documents arrive through email, text and three different shared folders.

  • Portal friction

Clients hit a login wall, forget the password, and give up — so they email it instead.

  • Duplicate asks

Staff request items the client already sent, which is where trust starts leaking.

  • No shared picture

Missing-item status lives in one person’s head and nowhere on a screen.

  • Unsafe handling

Tax IDs and statements travel through channels nobody would defend in an audit.

  • No proof

When someone asks “when did we receive this?”, the answer is a search, not a record.

How it works

Three steps, and then the software does the chasing.

Designed so a new firm can send its first request in under fifteen minutes.

01

Pick a template

Start from a request list built for the engagement — 1040 season, audit PBC, new-client onboarding, loan file, insurance renewal. Or import your existing checklist spreadsheet in one pass.

Item-level, not a folder.

02

Send one link

Your client gets a single secure link. No account, no password, no app. They see a plain checklist, upload from their phone camera, answer questions, check off confirmations — and stop when the list is done.

Signed, expiring, revocable.

03

Watch it close itself

Reminders fire on your schedule and stop the moment an item lands. You review, accept or send back with a reason. Everything that happened is written to an audit trail you can export.

Explainable and reversible.

The client side

Your client should never have to learn your software.

One tap from the email. A checklist in plain language. Upload straight from the phone camera, a green check when it lands, and a page that tells them exactly what’s left.

  • No account creation, no password, no download
  • Works on the phone they are already holding
  • Resume later from the same link — nothing is lost
  • Rejected item comes back with the reason, not a mystery
  • They can see what you have received, so they stop re-sending

Why it is different

Everyone stores files. Almost nobody closes the loop.

Structure

Item-level, not a folder

Every request is a list of named items, each with its own status, owner, version history and reason code. “The folder has stuff in it” is not a status.

Clarity

Client vs team, never ambiguous

One glance separates what you are waiting on the client for from what is sitting in your own queue. Managers stop asking; the board answers.

Control

Automation you can explain

Every scheduled reminder shows in plain English when it will fire and why — cancel it before it sends, or undo it after.

Proof

Evidence, not vibes

An append-only, hash-chained audit trail. Change a row in the database and the chain breaks visibly. Export it with the documents in one package.

Speed

Templates for real engagements

1040 season, audit PBC lists, new-client onboarding, mortgage files, insurance renewals — reusable and editable by the whole team.

Fit

Priced below practice management

You do not need a full practice suite to fix one broken workflow. Start at the price of a working lunch and keep your data portable.

Evidence & security

Built to survive the question “prove it”.

Every upload is scanned for malware, then encrypted at rest with a key unique to your workspace, so a file lifted from storage can’t be read by anyone else. Every material action — logins, link opens, uploads, rejections, exports, settings changes — is appended to a chain where each entry commits to the one before it.

  • Encryption in transit and at rest, with a key per workspace
  • Malware scanning and file-type checks on every upload
  • Private, expiring, revocable client links
  • Role-based permissions; auditors are strictly read-only
  • Passwordless sign-in with one-time email codes
  • Hosted in the United States; one-click export of everything

Questions

Before you ask.

Do my clients need an account?+

No. They get a private link that opens straight to their checklist. Nothing to install, nothing to remember, and the link expires and can be revoked whenever you choose.

What if they email the documents anyway?+

Log it against the item in two clicks and the checklist stays the source of truth — the reminder for that item stops immediately, so nobody gets chased for something you already have.

Can we import our existing lists?+

Yes. Bring a spreadsheet of clients, contacts and engagements — columns are matched by name — and paste your checklist straight into a template. No paid implementation, no waiting on an onboarding queue.

Where is our data stored?+

In the United States. Files are scanned for malware, encrypted with a key unique to your workspace, and every access is written to a tamper-evident audit trail.

What happens if we leave?+

You export everything: original documents, a manifest with hashes and timestamps, and the full audit trail. That’s a product feature, not a support ticket.

Is this a replacement for our practice management system?+

No — and it is not priced like one. It fixes the collection workflow that practice suites treat as an afterthought, and hands the finished package back to whatever system you already run.

Send your first request before your coffee goes cold.

Create a workspace, load a template, and put one clean link in front of a client. If it does not save you an hour in the first week, you have lost nothing but the coffee.
